Research Financial Support Administrator, Future Energy Systems

Under the direction of the Senior Financial Analyst, the Research Financial Support Administrator will provide financial account support associated with funding from the Canada First Research Excellence Fund (CFREF) and its matching partners. This position involves continual monitoring of a high volume of complex research projects for levels of expenditures,overall accuracy and completeness of transaction entries to ensure that matching requirements are met, and preparation of financial statements and variance reports.

Duties

  • Acts as a resource person for researchers, administrators and support staff in managing the financial aspects of research projects' infrastructure (e.g. setting up research financial files, ensuring files include all relevant information and following up on inquiries)
  • Assists in the preparation of detailed budgets to support successful grant applications and finalization of awards
  • Ensures all critical documents are in place including scope of work, budget, required signatures and certifications
  • Assists in problem solving and liaises as necessary between researchers, administrators and central administration
  • In collaboration with Senior Financial Analyst, works with Research Services Office and faculties to ensure staff and researchers are appropriately educated on, and familiar with, University and sponsor policies and procedures
  • Develops and maintains expertise on the principles of research funding administration and University and sponsor (CFREF) policies and procedures
  • Plans and delivers information and training sessions to researchers and administrative staff
  • Reviews and reconciles project statements to eTRAC reports and general ledger prior to submission to the sponsor(s)
  • Works with supervisor, Contract Specialists, faculty administration staff and researchers to create, manage and maintain internal control processes designed to ensure effective expenditures and tracking of research account funds to the eligibility requirements of the sponsor
  • Works with researchers and departmental staff on review of financial statements and assists in preparation of financial statements and variance reports for sponsors
  • Produces standard and ad hoc reports of research financial transactions
  • Prepares and submits account reconciliations, consolidations and notices of end-dates to researchers and departmental staff
  • Works with researchers and central units to ensure that all conditions of the sponsor are met (e.g. invoicing, reporting and certifications)
  • Maintains database and/or other monitoring systems
  • Performs other duties as assigned

Qualifications

  • Post-secondary education in a business or accounting-related field combined with current enrolment in a professional accounting program; an accounting designation would be an asset
  • Minimum of 2 years of progressively responsible research administration experience
  • Ability to assist with the interpretation of financial information for analysis and forecasting purposes
  • Strong communication (verbal and written), interpersonal and organizational skills
  • High level of accuracy and attention to detail required
  • Superior time management skills
  • Commitment to providing timely and efficient service
  • Ability to make timely decisions and act on individual initiative
  • Ability to generate timely, accurate and professional looking reports
  • Proficient in Microsoft Office suite software, with above average skills in Excel
  • Knowledge of research policies, procedures and guidelines for major sponsors and University would be an asset
  • Demonstrated competencies in the areas of: professionalism, results orientation, organizational understanding, teamwork, flexibility/adapatability
