Accounting Manager

At Robots and Pencils, we’re expanding our ampersand team and looking for an Accounting Manager to join us. This is a full-time position and will be based out of our Calgary office.

You work well with a team and know how to give and receive constructive feedback. You are honest, reliable and trustworthy. 

You have strong time management skills and are able to effectively prioritize tasks and meet strict deadlines. At the end of the day, you love working with numbers and aren’t afraid to “roll up your sleeves” and get into the details.

What You’ll Do:

The responsibilities of the Accounting Manager include, but are not limited to, the following:

Accounts Receivable/Accounts Payable

  • Managing monthly invoicing process by providing guidance and assistance to the Accounting Clerk

  • Ensuring all amounts (time and expenses) invoiced to customers adhere to contractual requirements outlined in various agreements

  • Assisting in preparing the estimates for customer charges to ensure appropriate margins are achieved

  • Managing the collection of outstanding amounts from customers

  • Providing weekly updates on the status of accounts

  • Reviewing project setups to ensure terms and rates are compliant with the various customer agreements

  • Administration of the time and expenses software including setting up/terminating users

  • Managing the process of recording expenses and ensuring vendors are paid in a timely manner

  • Administering the Company’s Corporate Credit Card program

Payroll 

  • Work directly with Payroll Specialist to review semi-monthly payrolls to ensure validity and accuracy

  • Recording payroll entries into accounting software and reviewing entries to ensure proper classification between various departments

Financial Reporting

  • Reconciling all balance sheet accounts to ensure completeness, validity and accuracy of data

  • Managing month-end process to ensure results are provided to various stakeholders in a timely fashion

  • Performing analysis on balance sheet and income statements and providing explanations on variances from budgets/forecasts and prior months/years

  • Weekly analysis of revenue as well as future backlog of services to be performed along with other non-financial key performance indicators

  • Reviewing classification of revenue and expenses between various departments in order to assess departmental profitability

Tax & Treasury:

  • Filing Company’s GST within required deadlines

  • Assisting the Vice President, Finance in completion of Company’s Canadian and US tax filings

  • Coordinating with CRA, IRS and other government bodies during audits and providing the information required

  • 1099 reporting for US contractors

  • Assisting with T4A filings for Canadian contractors

  • Administration of various bank accounts controlled by the Company in both Canada and the US including the transfer of cash between accounts as necessary

  • Cashflow forecasting as requested by the Vice President, Finance

Year-End

  • Ensuring all entries have been completed and all GL accounts are reconciled

  • Providing information, clarification and supporting documentation to external auditors when requested in a timely manner

  • Assisting the Vice President, Finance with drafting financial statements and accompanying note disclosures under US GAAP

Requirements

  • Bachelor's degree in accounting and CPA (or CPA candidate)

  • 3-5 years of accounting experience

  • Advanced Microsoft Excel skills

  • Experience with various ERP software (experience with Quickbooks an asset)

  • Flexibility with working hours and able to stay organized during peak periods of activity

  • Experience working and coaching junior talent as well as working with a distributed team

  • Experience with audits (IFRS, US GAAP, ASPE) considered an asset

  • Experience working within a small-medium sized company with a lean team considered an asset

  • Experience or exposure with working with a Canada / US company considered an asset
