Accounting & Payroll Administrator

Summary

Reporting to the Controller, this position acts as a leader in providing Payroll support to the business.  Working closely with Human Resources , Accounting, Management and all staff to ensure a high level of customer service is maintained while ensuring that effective communication and continuous improvement remains a focus.

This position is a key fundamental role and contributes greatly to the organization’s overall success

Responsibilities

Client Service

  • Ensure compliance with the Collective Bargaining Agreement (CBA), through means of monitoring step increases, anniversary dates for agreement, wage increases and all other payroll based implications from the CBA
  • Become very familiar with the CBA and organizational policies
  • Provide professional and timely customer service to all payroll related inquiries received
  • Sit on the Employee Awards Committee. 
  • Coordinate and manage the annual employee awards (special awards and service awards), letter creation, distribution as well as award processing through payroll
  • Assist in coordinating social staff events
  • Provide new hire training on system use for Dayforce Ceridian
  • Provide reporting and information for Collective Bargaining as necessary

Administrative

  • Maintain and update staff lists, e.g. phone numbers, seniority, staff awards and position/status
  • Maintain an organized filing system for all Payroll/ Accounting related material
  • Manage/ Compose budget documents for Finance as required/ necessary
  • Compile analytical reporting as necessary on a regular and ad hoc basis
  • Compose and maintain Payroll manual, ensuring processes are documented and updated regularly
  • Compose and maintain general ledger account reconciliations that directly relate to Payroll categories, for example reconciliation of STD, sick-leave, benefits, RRSPs etc.
  • Prepare and maintain the monthly bank reconciliations for all operating accounts (CAD & USD)
  • Track all term employment arrangements and ensure adherence to the Collective Agreement regarding term conditions
  • Prepare, manage and communicate all legislative changes regarding Payroll
  • Manage within Payroll leave types and follow up with managers when time frames are approaching
  • Any other accounting, payroll and administrative duties as assigned.

Skills & Requirements

  • Undergraduate Degree or relevant Diploma training from a College or Technical Institute
  • 4 to 5 years’ experience in a Payroll/ Accounting position, including project or job costing and reporting responsibilities
  • PCP or CPM designation required
  • Proficiency with the Microsoft Office Suite
  • Knowledge and Experience with Ceridian Dayforce
  • Experience with the administration of Group Benefits and RRSP programs
