Accounts Payable Coordinator

Reporting to the Operational Controller and the Manager, Hotel Accounting, the Accounts Payable Coordinator will be responsible for day-to-day accounts payable function for corporate and hotel operations, construction and multiple developments, including cheque runs, reconciliations, and assisting with month-end tasks.

 

This is a full-time permanent position and requires the ability to be very organized in a fast paced environment. Strong verbal and written communication skills are required.

 

RESPONSIBILITIES:

  • Full-cycle accounts payable for multiple entities (verification of proper general ledger coding, posting invoices into the system, bi-weekly cheque and ACH runs)
  • Obtain proper approvals and signatures
  • Reconciliation of company credit cards to submitted expense claims, including coding verification
  • Perform chargebacks to all related companies
  • Follow up with vendors, internal parties to solve outstanding issues and ensure all invoices received on time for inclusion into monthly draw packages for projects
  • Assist with bank deposits and reconciliations
  • Assist in preparation of monthly draw packages for projects
  • Maintain accounting files and arrange for archiving of old records
  • Mail / courier pick up and distribution, reception backup coverage
  • Identify opportunities to improve work process and procedures
  • Ad hoc duties as assigned

 

QUALIFICATIONS:

Experience Required

  • 2-4 years of experience in a similar role
  • QuickBooks and Microsoft Dynamics/Great Plains experience preferred
  • Proficiency with Microsoft Office programs such as Word and Excel
  • Technologically adept
