Treasurer

PRIMARY FOCUS

Elected by the board of directors, the Treasurer is primarily responsible for ensuring that the bookkeeping and financial documents of the AKA are up to date and correct. Furthermore, the Treasurer must ensure that the AKA’s books’ are verified/audited annually in addition to the preparation of an annual budget based on the board’s strategic priorities. The Treasurer has both signing authority and responsibility for the funds and securities of the AKA.

 

SPECIFIC ACCOUNTABILITIES may include the following:

1) Provide guidance and attend selected meetings for the Finance committee (Not yet established)

2) Manage the financial assets of the association;

3) Manage documents related to income and expenditures;

4) Prepare an annual budget for the upcoming fiscal year and present it at the AGM to members at large;

5) Recommend an auditor, who shall be approved by the membership, to conduct an annual financial audit of the corporation;

6) Awareness of the status and amounts of the assets of the corporation and control spending of monies, as budgeted or non-budgeted items, per available funds;

7) Signing authority for cheques with secondary authorization required from any present board member;

8) Approve all financial contracts (e.g., agreements with speakers, hotel facilities, contractors), along with the other board members;

9) Participate in monthly board meetings (averaging 2 hours in length). Be prepared to participate in the ongoing governance of the AKA through making motions, discussing matters before the board and voting;

10) Participate in the AGM;

11) Time demands vary and increase before our AGM as the budget is finalized. Still, an average of 1-2 hours per week can be expected.

 

POSITION REQUIREMENTS (KNOWLEDGE, SKILLS, & ABILITIES)

Decision Making: This position requires interpretation and evaluation of the information provided and seeking clarification where needed to ensure financial processes and audit criteria are met. Skills related to gathering information and strong attention to detail are essential.

Interpersonal Skills: This position requires communication through multiple methods such as; telephone, computer, in person, and front of groups. The Treasurer works with the rest of the board of directors to provide governance, vision, and policy implementation for the AKA. The Treasurer may recruit and chair committees. The Treasurer will also effectively mentor a successor for one month after completing his/her term.

Financial: Good knowledge of budgeting and time management to pay bills on time. Ability to work with complex excel spreadsheets to keep financial records up to date and recommend budget adjustments accordingly.
